Our Administrative Assistant plays a central role in customer support, data entry, & key clerical tasks. You will be the primary person answering phones, placing calls, & exchanging emails. You’ll work extensively in our operating system that manages client data, bids/contracts, work schedules, service tickets, & notes.
Key Activities
- Answering phones & emails
- Notifying clients of upcoming services
- Creating bids, work orders, service tickets, & reports
- Posting completed service tickets
- Conveying notes & information between clients, field staff, & managers
- Processing payments & collecting on past due accounts
- Assisting in scheduling, rescheduling & dispatch
- Maintaining customer files, production notes, & property notes
- Performing other clerical & office upkeep tasks including opening/sorting mail, filing, shredding, & cleaning the office
- Working closely with & supporting the Office Manager & other managers
Requirements
- Excellent communication skills & an amiable personality that comes through on the phone, in writing, & face-to-face
- Able to accurately & quickly enter/process data
- Skilled at solving problems & spatial reasoning
- Able to manage time & handle interruptions
- Tech savvy & able to work in complex business systems
Shift will be Monday through Friday, 8:30am to 5:00pm, though winter hours might be lower. Health insurance available after 60 days & retirement plan after 90 days.
